AADE has student sections that provide an operating framework for activities at a university level. Each student section is sponsored by a local, AADE chapter and is encouraged to have the support of their university department.
Applications for a new student section must be submitted by the student members of the proposed section to the AADE chapter nearest to the institution and gain a letter of sponsorship from the Chapter. If a Chapter is not able to sponsor the section but there is a desire from the students to form a section, the application can be submitted directly to the National Board. Applications will be reviewed and a license granted upon approval from the sponsoring chapter and National Board.
Until officially approved, students may not operate using the AADE name.
Step One - The students interested in starting a Student Section, will secure a copy of the “Starting a Student Section” documents, fill out the application, and submit the Application to the National Board info@aade.org. Once the information is received the Student Section Committee will be notified to begin the process.
Step Two – An AADE Chapter will need to agree to sponsor the Student Section. You can find a chapter closest to you at www.aade.org. If you are unable to connect to a chapter directly you can reach out to the National Board at info@aade.org for guidance. If a Chapter is not able to sponsor the section but there is a desire from students to form a section, the application will be reviewed by the National Board for sponsorship. The National Board sponsored student sections will be reviewed each year to determine further sponsorship of the section.
Step Three – A faculty advisor from the University faculty/staff must be obtained and the Faculty Advisor Letter must be signed and submitted. This letter will need to be updated anytime there is a change in the faculty advisor. The Faculty Advisor enrolling as an active member of the AADE sponsoring chapter is highly encouraged.
Step Four – Bylaws – The attached student section by-laws should be adopted.
The Standard Student Section By-Laws must be adopted by the Student Section. Afterward, if appropriate, they may be amended. However, all amendments must be approved by the Sponsoring Chapter and National Board.
Step Five – Officers – As many officers as necessary may be elected, but it is suggested the following positions be filled: President, Treasurer and Secretary. At least two of the proposed officers should not be graduating within 6 months of submitting the application.
Step Six – The Sponsoring Chapter will submit the above paperwork for review at the next scheduled National Board Meeting. If the National Board votes to approve the student section, a license will be issued between the sponsoring chapter and student section with an approval signature from the National Board.
The Sponsoring Chapter will be responsible for the guidance and oversight of the Student Section. This Chapter must be willing to assume the responsibility of monitoring, and supporting the Student Section. The Sponsoring Chapter will be responsible for assigning a Student Section Liaison to be the coordinating person between Chapter and Section. If the section is a National Board sponsored section, the National Board will appoint a Student Section Liaison that will assume this responsibility. The Sponsoring Chapter is accountable to ensure the National board is provided with the Student Section meetings/events & membership list. This information must be provided to the insurance company. Until this information is submitted, the Student Section will not have insurance coverage for meetings and events. Although this information will change periodically, especially in the beginning, it is required and must be revised as often as necessary.
The Student Section must cooperate with the Sponsoring Chapter and follow all guidelines prescribed by the Chapter. The Student Section must submit a membership list, (complete with email addresses and phone numbers), plus a list of scheduled meetings and events to the Chapter Student Section Liaison by November 1st of each year. These member listings and the meetings/events calendar must be added to the Chapter lists in order to have the Student Section covered by the Chapter Insurance Policy. Once added to the Chapter membership/events list, the Student Section is an integral part of the Chapter versus a separate entity. Otherwise, a separate insurance policy, at an additional sizable cost, would be required to provide coverage. The Student Section must keep the Sponsoring Chapter advised of their current Officers and Faculty Sponsor as well as contact information each time any changes are made.
In order to maintain a section in good standing, the section must do the following. Failure to do so could result in suspension or dissolution of the student section.
Conduct at a minimum of four meetings each school year.
Submit to the Chapter an officer list each year and notify the liaison if there are any changes.
Submit the membership list and meeting and events form to the sponsoring chapter no later than November 1st of each year.
Hold officer elections each year no later than April 1st.
To build continuity within your student section operations, we request you hold elections no later than April 1st so the newly elected officers can receive mentoring from the past officers.
Once the election of Officers has occurred, each Officer should be provided a copy of the current Student Section By-Laws
Submit the annual report at the end of each school year.
Communicate with the Student Section Liaison quarterly, the Liaison will report to the sponsoring chapter the status of and any issues with the Student Section.
Each Student Section must conform to the AADE logo standards document.
A student section has the right to allocate or target any funds it feels are necessary for the promotion and accomplishment of its objectives. However, at no time nor under any circumstances may an AADE student section or any of its officers or representatives contract debts to be paid by the AADE and under no circumstances may credit be obtained by the section in the name of AADE.
It is encouraged but not required to have the AADE Student Section funds
Be held at the university level with oversight from the faculty advisor.
Be held by the sponsoring chapter with oversight from the student section liaison and chapter board.
The section has the right to collect dues but it is not required from its members to establish funds for its operations. The amount of yearly dues per member, along with the date they should be paid should be stated in the Student Section Bylaws. The section may engage in fundraising activities, and may accept donations and financial gifts.
It is encouraged but not required that the student section be recognized by the affiliated University. Each Student Section is responsible to check with your University for the proper protocols.
The AADE is one of the most prestigious technical/professional organizations in the world and being an AADE Student Member is considered a noteworthy achievement by drilling industry professionals and executives. .
Student membership provides students the opportunity to meet practicing professionals and active members in industry while still attending school.
Student membership provides an opportunity for members to interact with drilling professionals in the field and office settings.
Student Members may attend AADE-sponsored meetings, conferences, and section meetings at a reduced price or free of charge.
Student Members may apply for financial assistance from AADE-sponsored scholarship programs.
